Help & FAQ

This page mirrors the in-app Scan Pro Receipts Help menu so your website and app guidance stay aligned.

Welcome

Welcome to Scan Pro Receipts. This guide walks you through onboarding, scanning, backups, reporting, and the occasional “why did it read that as $9,000?” moment.

Quick note: Best OCR results come from clear, flat, well-lit receipts. Review scanned values before saving.

Getting Started

The First Launch (Onboarding)

On first launch, set your name, company (optional), home region, default currency, and the day of the month you usually submit expenses. You can change these later in Settings, and you can pick your app language too.

The Guided Tour

After onboarding, start the guided tour from Settings -> Start Guided Tour. It walks you through periods, adding a receipt, and the basics-with friendly popups, not a pop quiz.

The Main Screen: Your Fiscal Periods

The main screen lists fiscal periods, date ranges, and totals. Open a period to review receipts or create a new one from the + button.

Adding & Managing Receipts

Adding a Receipt

Add receipts by scanning (built-in crop), gallery, or files. Frame the receipt clearly, capture or pick your image, adjust the crop when scanning, then save so OCR can read the details.

Corporate vs. Personal: What is the Reimbursable checkbox?

Use Personal/Reimbursable for expenses you paid personally and want reimbursed, or to keep personal and corporate expenses separated.

Reviewing Scanned Details

Fields OCR is unsure about stay highlighted. Tap a field when you are happy with it-that tells the app not to overwrite it with auto-math. Clear a subtotal, tax, or total and re-enter if you want a fresh calculation.

Moving Receipts Between Periods

Long-press a receipt to enter selection mode, tap more receipts if you like, then tap the move icon and pick a fiscal period. You can also move one receipt from its menu. Handy when last month’s lunch landed in the wrong pile.

What About Shipping?

If a receipt includes shipping or delivery, enter it in the Shipping field when editing. Auto-math treats it as part of the total: total = subtotal + tax + tip + shipping. Leave it blank when it does not apply.

Currency Conversion

Converting totals to another currency

Use Convert To and tap Convert to fetch rates. Converted values are for review and do not overwrite scanned totals.

Working with Foreign Receipts (Temporary Overrides)

Turn on temporary defaults to override country, region, and currency for your next scans. Turning it on clears amount fields so the next scan starts fresh. Turn it off to return to your home settings.

Reporting for Fun and Profit (and Reimbursement)

Generating a Report

From a fiscal period, tap Share to build your report. If the period has both personal and corporate receipts, choose corporate only, personal only, both combined, or pick specific receipts to send.

Tracking Submitted Receipts

After you share a report, sent receipts are marked so you can tell what is already out the door. On later shares, choose only unsent receipts or send the complete report again.

A Picture is Worth a Thousand Words (of Data)

Image exports include a details block and expense type labels so each file is clearly identified.

Set It and Forget It: Default Share Actions

Set default share action and recipients in Report Settings to speed up export and sharing.

Advanced Reporting Features

Favorite App for Sharing

Set a favorite app to skip chooser dialogs and share directly.

Zip File Renaming (.TJS)

Enable zip renaming if email providers block .zip attachments. Recipient can rename back to .zip.

Custom Filename Builder

Build export file names from components like date, vendor, custom text, and card number-then drag them into the order you want.

Report Structure Options

Choose summary + pages, pages-only, or summary-only layouts.

Image Caption Customization

Choose image captions such as vendor, vendor+date, category, or filename.

Include or Exclude Columns and Content

Control report content such as user name, company name, shipping, summary page, and summary columns.

Resend Options

When you share a period that already has sent receipts, pick Send Unsent Only for just the new ones, or Send Complete Report Again if someone needs the full set.

Export to CSV (with Images!)

Export CSV only, or include images as PDF or zipped JPG.

Improve OCR results

The Improve OCR Screen

Open Improve OCR from the Unlock screen (reachable from your fiscal period list). It explains how to send a tricky receipt from Backup so we can tune the scanner. Tap Open Backup, select the receipt, and email support with a short note.

Share a receipt from Backup to improve results

To help improve OCR, open your backups and send a clear receipt image using the Send action. Add a short note in your email about what the scanner got wrong-the more specific, the better.

Settings & Advanced Features

Custom Filenames

Turn on custom filenames in Report Settings, then use the filename builder to choose components and order. Same feature, two names-we kept both so you would not get lost.

Receipt Storage Settings

Settings -> Receipt Storage settings controls whether receipts are backed up, public vs private storage, auto-delete rules, and changing or migrating your backup folder. Turn backups on before you need them-not after the phone takes a swim.

How Backups Work

When backups are enabled, the app keeps a local copy of each receipt image so you can open the original later. You can turn backups off anytime in Receipt Storage Settings.

Choosing Your Backup Location (Private vs. Public)

Public backups can show up in gallery or cloud apps-handy for syncing. Use Change Folder to pick a cloud-friendly location, then Migrate to copy existing images and PDFs there. Private backups stay inside the app and are removed if you uninstall.

Your Digital Wallet: Managing Saved Cards

Add, remove, and manage saved payment methods from Settings > Manage Payment Methods.

Frequently Asked Questions (FAQ)

Why did the date range on my period change?

Period start and end dates are set when you create or edit the period-they do not stretch automatically when you add receipts. If you are past your usual report due day, the app may suggest starting a new period (based on the due day you set during onboarding).

Why do I still need to fill some fields after scan?

To save, you need a vendor name and a valid total. Other fields-category, comment, subtotal, tax, tip-are optional unless you want them on your reports.

How is tax calculated with tips?

Usually, tax is based on the pretip subtotal and total = subtotal + tax + tip. Some restaurants calculate tip on the tax-inclusive amount-the scanner may flag those with a note after scanning. You can always tap the fields and set amounts yourself.

How do I contact support?

Open Settings and tap Contact to email support at tj-s.ca. Tell us what went wrong and, if you can, which receipt or period-a little context goes a long way.
