Scan Pro Receipts, Part 2: Reports, Backup, Restore, and Your New Phone

Part 2 of 2 — deliver and protect. Part 1 covers crop, offline OCR, smart fields, and fiscal periods.

Accounting does not want forty unrelated photos in an email. They want a package: numbers they can skim, images they can match, filenames that make sense, and a way to find March without scrolling your entire life.

This post is how Scan Pro Receipts handles that second half—report, share, back up, and move to a new phone without a subscription cloud vault.

Fiscal periods as the unit of work

Everything in Part 1 lands in a fiscal period—a named date range with totals. When the period is ready, you tap Share once.

If the period mixes corporate and personal receipts, choose what to send: corporate only, personal only, both, or pick specific receipts. After you share, sent items can be marked so the next export can be unsent only—handy when you add three late receipts and do not want to rebuild the whole month.

That is the difference between “here is everything I ever scanned” and “here is March corporate card.”

Three ways accounting actually accepts delivery

1. PDF summary—skim first, dig later

The PDF expense report lists every receipt in the submission: vendor, date, category, payment method, subtotal, tax, tip, total, comments, and more. Toggle which columns appear in Report Settings so you are not sending fields nobody uses.

Choose layout: summary plus receipt pages, pages only, or summary only.

2. CSV—for Excel, Sage, or QuickBooks handoff

CSV export gives finance one row per receipt. They import or map columns on their side. Scan Pro does not pretend to be live QuickBooks sync—it gives them a clean file they already know how to use.

Export CSV alone, or CSV plus images bundled as PDF or zipped JPGs.

3. ZIP of cropped images—the workflow finance asked for

Many offices still match image to line item. Scan Pro can export a ZIP of cropped JPGs with custom filename rules—date, vendor, card last four, your own text—in the order you choose.

Image captions can show vendor, vendor+date, category, or filename. Each image can carry a details block so the picture is not anonymous.

Tip: If email blocks .zip, enable .TJS renaming in report settings. Recipient renames back to .zip.

Set a favourite share app and default recipients in Report Settings when you send the same package every month.

Backup your way—not our cloud bill

Scan Pro keeps a backup copy of receipt images so you can open the original later from View Receipt Backups.

You choose private storage (inside the app—gone if you uninstall) or public storage: a folder you pick—Pictures, Drive, Dropbox, whatever syncs the way you already work.

When you choose a custom public folder, backups stay out of your gallery by default. Use Migrate in Receipt Storage settings when you change folders.

The backup viewer lets you browse by period, open originals, share a tricky receipt for OCR feedback, and run light maintenance when orphaned files show up.

Device transfer: one zip, new phone, done

Settings → Backup & restore is the workflow I wish every app had years ago.

Export builds a single .zip: fiscal periods, receipts, images, backup copies, saved vendors and comments, payment cards, and optional app settings. Save it to Drive, USB, email—your call. The app shows counts before you confirm.

Import on this phone or a new one:

  • Smart merge (recommended)—adds missing data without wiping what you already have
  • Replace everything—full clone when you want the new phone to match the export exactly

After restore, a verification summary tells you how many receipts and images landed. If Android did not carry over folder permissions, tap Choose backup folder and point the app at your sync folder—the app moves restored backups there and keeps them out of the gallery.

No vendor account. No “call us to migrate.” Your file. Your storage. Your timeline.

How this compares (honestly)

NeedScan Pro Receipts
PDF / CSV / ZIP exportsYes — configurable
Fiscal periodsYes — core workflow
BYO cloud backup folderYes
Full phone migration zipYes
Live QuickBooks API syncNo — export and hand off
Team inbox / approvalsNo — single-device focus
One-time purchaseYes — 60-day trial, then $29.99 lifetime

Consider a subscription cloud app instead if you need automatic accounting publish or shared team workflows. Different problem, different price forever.

Month-end rhythm that works

  1. Scan through the period as you go (Part 1)
  2. Move stragglers into the right period
  3. Share PDF + ZIP (or CSV) to the address accounting expects
  4. Mark sent; add late receipts later with unsent only
  5. Export a safety archive before phone upgrade season
